Account & Data Deletion

If you can sign in

Open Hearthly, go to Account → Delete account, and confirm. If you own a care circle with other members, you’ll first either transfer ownership to another member (they’ll need their own active subscription) or request deletion of the whole circle on a 14‑day window. After confirmation, your personal data is permanently deleted within 30 days (with the small exceptions noted below).

If you can’t sign in

You don’t need to log in to request deletion. You can either:

• Use the public form at /delete-account — enter your email and we’ll send a confirmation link.
• Or email support@gethearthly.app from the email address on your account with the subject “Account deletion request”. We’ll verify it’s you and confirm by email when deletion is complete.

How long it takes

Personal data is permanently deleted within 30 days of confirmation (in‑app) or verification (email request), in line with our Privacy Policy.

What gets deleted

• Your account and profile (name, email, photo, preferences).
• Loved‑one records, daily logs, journal entries, medications, appointments, photos, and uploads that aren’t shared with other circle members.
• Your private notifications, push tokens, and device records linked to your account.
• AI‑related data tied to your personal content (e.g. embeddings used for in‑app pattern matching).

Deletion by role

• Circle member. Your personal identity and private‑only content are deleted within 30 days. Entries you authored about the loved one stay with the circle, attributed “Former member,” so the family’s history isn’t broken.
• Loved one with an account. Deleting your account removes your login and personal account data. The care record the circle keeps about you is managed by the circle owner and stays with the circle. You can ask the owner to remove specific information at any time, or contact support@gethearthly.app.
• Circle owner. You’ll need to sign in to either transfer ownership to another circle member (they need their own active subscription) or request deletion of the entire circle. Circle deletion notifies all members immediately and opens a 14‑day window during which any member can export data and you can cancel. After the window, the loved one’s record and all circle care data are permanently deleted. Member accounts themselves are not deleted. No refunds are issued for the current billing period.

What may be retained, and why

• Encrypted backups age out on our normal backup rotation after deletion.
• Records we’re legally required to keep — proof of your deletion request; email and SMS opt‑out suppression records (kept permanently so we never contact you again); SMS consent records; payment and tax records; and security audit logs. Each is retained only as long as the law requires.
• Shared care‑circle entries you co‑authored remain visible to the other members of that circle, with your name removed (shown as “Former member”), as described above.
