Account & Data Deletion

If you can sign in

Open Hearthly, go to Account → Delete account, and confirm. If you own a care circle with other members, we’ll ask you to transfer ownership first so their shared history is preserved. After confirmation, your personal data is permanently deleted within 30 days (with the small exceptions noted below).

If you can’t sign in

You don’t need to log in to request deletion. You can either:

• Use the public form at /delete-account — enter your email and we’ll send a confirmation link.
• Or email support@gethearthly.app from the email address on your account with the subject “Account deletion request”. We’ll verify it’s you and confirm by email when deletion is complete.

How long it takes

Personal data is permanently deleted within 30 days of confirmation (in‑app) or verification (email request), in line with our Privacy Policy.

What gets deleted

• Your account and profile (name, email, photo, preferences).
• Loved‑one records, daily logs, journal entries, medications, appointments, photos, and uploads that aren’t shared with other circle members.
• Your private notifications, push tokens, and device records linked to your account.
• AI‑related data tied to your personal content (e.g. embeddings used for in‑app pattern matching).

What is preserved for other members

Hearthly is built around shared care circles. Entries you authored alongside other circle members — shared daily logs, voice recordings, uploaded medical documents, music moments, game completions, and care‑circle messages — stay visible to the rest of the circle so their history isn’t lost. Your name is removed from those entries and the author shows as “Former member.” If you own a circle, you’ll be asked to transfer ownership before deletion so the circle and its shared history continue for the remaining members.

What may be retained, and why

• Encrypted backups age out on our normal backup rotation after deletion.
• Records we’re legally required to keep (e.g. payment/tax records, abuse or safety reports) are retained only as long as the law requires.
• Shared care‑circle entries you co‑authored remain visible to the other members of that circle, with your name removed (shown as “Former member”), as described above.
